Cheap and simple desktop for light office work

Not sure if it should be here or under desktops, but here we go:

We will be getting a new employee who will need to do a bit of office work, so she will need access to
- office package
- perhaps getting photos from smartphone to office package
- browser
- printer
- automatic backup over network (Synology)

We have a decent 19" LCD and I would like recommendations for which hardware to get. Small is good, as the office is not very big. Brands to go for, brands to avoid?

Also, which distros to consider? I am using OS X (and will be administrator), but she is likely used to Windows.

I am happy to install myself, but don't really have time for endless fiddling.

Where in the World are you? It's no good telling you to buy something from the UK if you are in the US...
 
Oh sorry, I am in Portugal. We have Staple locally, and Amazon is a great source of stuff.
